The University of Florida is pleased to cooperate with commercial film and video production companies that wish to use the campus as a location for their projects. However, this can only be permitted if the company adheres to certain guidelines and obtains a signed location agreement with the university, prior to the beginning of the project. Below are some guidelines that will assist you in understanding the process; This process is not intended to hinder news coverage by accredited news organizations. News reporters and producers should contact the UF News Bureau.
The University has the right to refuse permission to use the campus as a location for commercial film/video productions if the project will be too disruptive to our primary missions of teaching and research. Permission may also be denied if the university decides that the content of the production is contrary to the values and ideals of the university.
The University retains control over its name, logo and image. Any production that intends to identify the university in its program must have prior written approval to do so. If your production proposal includes use of athletic facilities, athletic logos or mascots or footage of athletic events, separate approval must be received from the University Athletic Association. The University will require that proof of liability insurance in the amount of one million dollars be provided prior to the beginning of the project. The company will also be required to reimburse any expenses incurred by the university related to the project. This will include a post-production inspection of the locations to determine if repairs are required to return the sites to original condition. In addition, a location fee will be charged for use of the campus, based on the size and complexity of the production.
A university liaison must be given unrestricted access to all locations during the production. The company will also be required to provide a list of names and birth dates of employees who will be working on campus. Any changes to the agreed production schedule or script must be approved before filming is allowed to resume.
